With EverWeb 4.6 and later, a Contact Form Advanced form can register people for an event and take the fee in one step. Visitors choose a ticket type and how many, answer your questions, and pay by card through Stripe or through PayPal. You get a list of everyone who's coming in your Client Area.
Who uses this
- A pottery studio runs weekend workshops, with or without a materials kit.
- A professional association sells conference places at Early bird, Member and Student prices.
- A running club organises a charity fun run, with a T-shirt size and an emergency contact for each runner.
- A school collects payment for a trip, with the parent's permission ticked on the same form.
What you need
- EverWeb 4.6 or later and the Contact Forms Enhanced add-on (needed for payments, the confirmation email and the online list of registrations): see What is the Contact Forms Enhanced Add-on?
- A Stripe account and/or a PayPal Business account, and HTTPS on your website: see My site says 'Not Secure': how to get HTTPS (SSL) on your website.
For a free event, you don't need payments: the same form works without them. The basics are in Build a custom form: quote requests, registrations and file uploads.
Sample form plans
One person per registration (a conference):
| Field label | Control Type | Settings / Price |
|---|---|---|
| Ticket | Card Select | Early bird: 120, Member: 150, Standard: 195, Student: 60 |
| Workshops | Choice Chips | Morning workshop: 25, Afternoon workshop: 25 |
| Lunch | Radio Button | Standard, Vegetarian, Vegan, No lunch (no prices) |
| Dietary or access needs | Text Area | Optional |
| Name, Email, Phone | TextBox, Email, Phone Number | Required |
| Event | Hidden Field | Default Value: Annual conference 2027 |
Several tickets per order (a fun run or family event):
| Field label | Control Type | Settings / Price |
|---|---|---|
| Adult tickets | Stepper | Min 0, Max 10, Step 1, Unit Price 20 |
| Child tickets | Stepper | Min 0, Max 10, Step 1, Unit Price 8 |
| T-shirt sizes and names | Text Area | "One line per runner: name and size" |
| Emergency contact phone | Phone Number | Required |
| Postal address | Address | Only if you post T-shirts or tickets |
| I agree to the event rules | Consent | Link URL to your rules page |
A quantity can't multiply a choice, so use a separate Stepper for each ticket price. Each one is added to the total on its own.
Set it up
- Make one form per event, with a clear Contact Form Name such as Spring Workshop 12 April. It's the name buyers see at checkout, and it keeps each event's list separate in your Client Area.
- Choose your add-on in Contact Form Enhanced Add-on. In the Payments section, tick Accept Payments, add your Stripe and/or PayPal details, choose the Currency and set Total Label to Total.
- Add the fields and prices from a plan above. Leave Show prices on options ticked.
- For a long form, add a Step Break before each section, such as Your details, Your tickets, Extras. Don't start the form with one.
- Choose a thank-you page in Forward To Page, and a page for Payment Unsuccessful Page that invites people to try again.
- Turn on spam protection, then tick Send Confirmation Email (see below).
- Test with a Stripe test key or PayPal Sandbox (testing), then go live and publish with File > Publish Entire Site.
The confirmation email
Send Confirmation Email goes to the visitor once their payment is confirmed. Put the event date, time, address and what to bring in Confirmation Email Content, and add %allformdata% so they have a copy of their answers. You can also use any field label between % signs, such as %Name%.
What you receive
- An email for each registration marked Paid, with every answer, the total and a Payment Reference.
- People who start but don't finish paying reach you a few hours later marked Unpaid order, so you can follow up.
- Your guest list in the Client Area under Contact Form Submissions > View Form Submissions. Export it to CSV, sort by name, and print it for the door. With the larger add-on packages you can also email everyone who registered from there, for example with a reminder.
Good to know
- The form doesn't count places. It won't close itself when the event is full. Keep an eye on the numbers, and when you're full, replace the form with a "Sold out" note and publish again.
- No barcodes or printed tickets. The confirmation email and your list are the tickets. Check names at the door.
- One-off payments only. For a season's fees paid monthly, see Members-only pages, logins and paid subscriptions: EverWeb Membership Sites.
- Fields can't appear or hide depending on an answer (for example, meal choices only for adults). Ask in a Text Area, or keep the question optional.
- One currency and one tax rate per form.
- A short form fits nicely in a Popup Window: tick Close popup window after sending. See How do I open a popup window or enlarge a photo when someone clicks?
