Replace an image or PDF everywhere at once, and clear out files you no longer use (the Assets list)

Every picture, video, audio file and PDF you add to your website is stored once, in the Assets list inside your project file (the editable copy of your website, saved on your computer). Your pages use that one copy. So if you replace a file in the Assets list, every page that uses it updates at once, keeping the same size and position. Then publish.

Where to find the Assets list

Click the Assets tab at the top of the right-hand side of the EverWeb window, next to Inspector. You'll see two sections:

  • Images: your pictures.
  • External Files: PDFs, documents, audio, video and other files you've linked to or added.

At the top of the list are a search box, a – button, a + button (to add a folder) and a menu button between them. To preview a picture, select it and press the space bar.

When you delete a picture from a page, it stays in the Assets list so you can use it again. That's useful, but it's also why the list (and your project file) keeps growing.

Replace an image or PDF everywhere it's used

  1. Click the Assets tab.
  2. Find the file. Type part of its name in the search box if the list is long.
  3. Right-click the file name (or Control-click on a Mac).
  4. Choose Replace Asset....
  5. Choose the new version from your computer.
  6. Go to File > Publish Entire Site to send the new file to your website.

Good to know:

  • Replace Asset is only in the Assets tab. You won't find it when you right-click a picture on the page, a picture inside a gallery, or the file list in the Hyperlinks tab.
  • Pictures must be replaced with pictures. A JPG can be replaced with a PNG, for example, but not with a PDF.
  • Your links keep working. A replaced file keeps its original file name, so links you've shared, or that people have saved, open the new version.
  • Still seeing the old file? Your browser may be showing its saved copy. Open the page in a private window to check.

To change a picture on one page only, don't use Replace Asset. Select the picture on the page, go to Inspector > Shape Options, and under Fill choose a different image from the dropdown, or choose Choose... to pick a new one from your computer.

See which pages use a file

Right-click the file in the Assets list and choose Find Pages Using Asset. If no page uses it, EverWeb says so.

Find and remove files you no longer use

Removing unused files makes your project file smaller and quicker to open, back up and publish.

Before you start: make a backup. Go to File > Projects Window, click the three dots next to your website (the arrow on Windows) and choose Make Backup.... Removing assets can't be undone.

  1. Click the Assets tab.
  2. Click the menu button at the top of the list, between the – and + buttons.
  3. Choose Find Unused Assets....
  4. EverWeb selects every file that no page uses and asks whether to remove them. Click Yes to remove them, or No to keep them and look through the selection first.

Want to keep a copy of a file before you remove it? Right-click it, choose Copy File Path, paste that into your web browser's address bar, and save the file from there.

Removing files from your project doesn't remove copies already on your website. Publishing never deletes files from your server. If your hosting is full, see My hosting is full. What is using my space and how do I clear it? (Error 55).

Why is my project file so big?

Usually because of what's in the Assets list:

  • Files you stopped using. They stay in the project until you remove them (see above).
  • Large videos and full-size photos. A single video can be hundreds of megabytes.

To find the biggest files, open the Assets menu (step 2 above) and choose Sort By File Size, then Show File Info to see each file's size.

To make the project smaller:

  • Remove unused files.
  • Replace very large photos with smaller versions saved for the web, using Replace Asset....
  • Put videos on YouTube or Vimeo, then show them with a shape whose Fill is set to Video. This also saves space and bandwidth on your hosting.
