Manage your members: add, import, export, suspend, cancel and email them

You manage your members on the Members screen of the Membership Sites menu, in your EverWeb account page (the Client Area). There you can add members yourself, import or export a list, change a member's level, suspend or cancel them, reset a password and email them. Members can't cancel or change their own level, so you do these jobs for them.

To open it, sign in to your EverWeb account page (the Client Area) and click Members under Membership Sites in the left sidebar. With more than one membership site, click Manage All, choose the site and click Edit Membership Page first. See Set up Membership Sites step by step: buy a plan, fill in Setup and connect Stripe.

The Members screen

Each row shows the Member, Level, Status, Member Since and Next Payment date. The EDIT button is at the far right: scroll the list to the right if you can't see it.

To find someone, open Filters to show, tick what to search by (for example Email, Name or Membership level), fill in the boxes and click Search. Reset search shows everyone again.

StatusWhat it meansWhat the member sees on a members-only page
ActiveSigned up, and paid if the level is paidThe page
PendingSigned up for a paid level but hasn't paidYour Payment page
SuspendedYou suspended them, or they missed a paymentYour Account Suspended page
CancelledTheir membership has endedYour Account Cancelled page
BlockedToo many wrong login attempts, or you blocked themThey can't log in

A member who hasn't confirmed their email address is sent to your Email Validation page.

Add a member yourself

  1. Click Add New.
  2. Fill in First Name, Last Name, E-Mail and Membership level.
  3. Type a password in Password and Repeat Password. Give it to the member, or ask them to choose their own with Forgot your password? on your Login page.
  4. Click Save.

If the member is then asked to confirm their email address, open them with EDIT and click Send Verification Email, or Set Verified to confirm it for them. Free levels need the Plus or Deluxe plan. A member you add to a paid level has no card saved, so ask them to add one on your Profile page before their Next Payment date.

Suspend, cancel or delete a member

Click EDIT next to the member, then use the buttons on the left:

ButtonWhat it does
SuspendStops them seeing members-only pages. Their details and payments are kept.
Set ActiveLets a suspended or pending member back in.
Cancel AccountEnds their membership, stops their payments and removes their card.
DELETERemoves the member and their details permanently.

To suspend or re-enable several members at once, tick them in the list and choose With Selected > Suspend or Enable.

Cancelling. A member who has paid up to a future date keeps access until then. Until that date they're listed on the Cancelations screen, where Disable canceling withdraws the cancellation. Members can't cancel by themselves, so add a cancellation request form to a members' page with the free Contact Form Advanced widget (see Build a custom form: quote requests, registrations and file uploads), and cancel them here when a request arrives.

Deleting. Cancel the account first so payments stop, then delete. Delete is the right choice when someone asks you to remove their details, or for your own test members.

Change a member's details, level or password

  • Overview tab: change the Next Payment date, turn Automatic payments on or off, give them a coupon in Member coupon, or charge them now with Renew > Renew Membership (needs a card on file). If they're locked out after too many wrong passwords, untick Account blocked. Click Save to apply changes on this tab.
  • Member Level tab: choose the New Membership Level and click Change. To charge or credit them for the change, tick Apply Membership Change Fee and enter the amount in Member Price Change (a minus amount gives a credit). The confirmation says when they'll be charged. A cancelled member's level can't be changed.
  • Password tab: type the new password twice and click Change. The member isn't emailed, so tell them. Members can also reset their own password with Forgot your password? on your Login page. That link works for 60 minutes and needs a Change Password page on your site.
  • Payment History tab: each payment and its status. Click Refund next to a payment to refund it.
  • History Log tab: this member's logins and changes.

Import a list of members

  1. Click Import, then Click here to download a sample file to see the column names.
  2. Your file needs these columns: firstName, lastName, email, address, address2, city, state, country, postalCode and membershipLevel. The address columns can be empty.
  3. In membershipLevel, type the level's Internal Code from the Membership Levels screen, not its name. The sample's codes (BASIC, PREMIUM) won't match yours.
  4. You can add password, status, validated, created_at, lastPayment_at and nextPayment_at. Write dates as YYYY-MM-DD, for example 2026-12-31. Any other column becomes a custom field.
  5. Save the file as CSV from your spreadsheet app, with the same layout as the sample file.
  6. Click Select members CSV file, choose the file and click Preview Import.
  7. Rows with a problem show Error and the reason, and start unticked. Fix them in the grid, or leave them unticked. Click Select Ready, then Import Selected Rows.
  8. Watch the Import Progress panel, or leave the page: you get an email with the result.

Import long lists in smaller files, for example 50 members at a time. A larger file may not bring in every row.

"Import queued" doesn't mean your members were added, only that the import started. Read the Imported, Existing and Member Errors counts or the result email. Addresses already on your list count as Existing and aren't added again.

  • If you leave password empty, a strong password is made. Tell members to choose their own with Forgot your password? on your Login page.
  • Paid levels need Stripe connected in Setup. For a recurring paid level, set nextPayment_at to the day their current paid period ends, and ask members to add a card on your Profile page before then.
  • Free members need Plus or Deluxe. On Starter, those rows show "Cannot add anymore free members."

Export your members

Click Export. You get a CSV file of every member, whatever you've ticked, which opens in Numbers, Excel or Google Sheets. Status is a number (0 Pending, 1 Active, 2 Suspended, 3 Cancelled, 8 Blocked). Passwords are never exported.

Email your members

Emailing members needs the Plus or Deluxe plan.

  1. To email one level, search by Membership level first.
  2. Tick the members. The top tick box only ticks the members shown, so show 100 per page first on a long list.
  3. Click Mailing.
  4. Type a Subject and your message in Content. Click a Tags button to add each member's name or other details.
  5. Tick Send only to opt in members to email only members who ticked "Receive marketing emails" on their Profile page.
  6. Click Preview, then Send.

Save email template keeps the message for next time. Emails come from our address until you set up your own in Mail Configuration (the Configure button next to From). Mailing history lists what you've sent, with the Recipients count and Opened count.

Logs and helpers

The Logs screen shows logins, payments and profile changes, with the member, IP address and date. Type in the box above a column and press Enter to search.
