A membership level is one way to join your members area, with its own name, price and schedule, for example Free, Monthly Library or Gold. (The EverWeb website calls them packages.) You create levels in your EverWeb account page (the Client Area), then choose in EverWeb which levels can see each page. This article goes through every field, what you can't change after saving, and how coupons work.
Decide these before you save
Three settings are locked once a level is saved: Internal Code, Payment Schedule and Total payment cycles. Everything else can be changed later.
Some kinds of level need a paid plan:
| You want | Plan you need |
|---|---|
| Paid levels (one time, weekly, monthly, quarterly or yearly) | Any plan |
| Setup fees and coupons | Any plan |
| Free levels | Plus or Deluxe |
| Free trials | Plus or Deluxe |
For plan prices and transaction fees, see Members-only pages, logins and paid subscriptions: EverWeb Membership Sites.
Example setups
Kinds of levels EverWeb customers use (prices are only examples):
| Kind of site | Name | Payment Schedule | Setup Price | Recurring Price | Also set |
|---|---|---|---|---|---|
| Online course, pay once | Full Course | One time | 0 | 49 | |
| Lesson or video library | Monthly Library | Monthly | 0 | 10 | Trial period 7 (Plus or Deluxe) |
| Club with yearly dues | Annual Member | Yearly | 0 | 30 | Send Renewal Email 14 days before |
| Newsletter with a free tier | Free Reader | Free | Plus or Deluxe | ||
| Trainer with a joining fee | Coaching | Monthly | 25 | 40 |
Create a level
- In the Client Area, open Membership Sites in the left-hand column and click Membership Levels. (Can't find it? See Set up Membership Sites step by step: buy a plan, fill in Setup and connect Stripe.)
- Click Create New.
- Fill in the fields below and click Save.
- In EverWeb, go to Inspector > Page Settings > Password Protection and click the reload button (two curved arrows) next to your license, so the new level shows.
| Field | What to enter |
|---|---|
| Name | The name members see when they sign up and pay, such as "Gold". |
| Internal Code | A short code, letters and numbers only, with no spaces, such as GOLD. Each level needs its own code. It can never be changed. You use it when you import members from a CSV file. |
| Setup Price | A one-off amount added to the first payment, such as a joining fee. Enter 0 for none. |
| Recurring Price | The amount charged each time the member pays. For a One time level, this is the price they pay once. |
| Tax | Leave this empty. If you need to charge tax, include it in your price. |
| Payment Schedule | Free, One time, Weekly, Monthly, Quarterly or Yearly. One time members pay once and don't renew. |
| Send Renewal Email X days before expiry | How many days before each renewal the member gets a reminder email. 0 sends none. |
| Total payment cycles - (0 - infinite) | How many payments to take before billing stops. 0 keeps charging until the membership is cancelled. |
| Active | Yes, or No, do not accept new members to stop new sign-ups to this level. |
| Sort Order | The order of levels in the sign-up list, lowest number first. |
| Allow upgrading level for members on profile page | Leave this unticked. Members can't change their own level: you change it for them on the Members screen. |
| Trial period (0 - no trial) | Free days before the first charge. Needs Plus or Deluxe. |
Prices are greyed out for Free levels, and the renewal email, payment cycles and trial for Free and One time levels.
If the level won't save
- "Amount must be greater than $2 USD and less than $5000 USD": a paid level's Recurring Price must be at least 2 and no more than 5,000 in your currency. This applies to One time levels too. The message says USD whatever your currency is.
- "Level code should contain only letters and numbers": remove spaces, dashes and other symbols from Internal Code.
- "Level code is already in use": another level already has that code. Choose a different one.
About free trials
A trial delays a new member's first charge by the days you enter. Before you offer one, sign up to it yourself on your published website, to see what a new member is asked for on the Payment page.
Change a level later
| You can change | You can't change |
|---|---|
| Name, Setup Price, Recurring Price, Tax, Active, Sort Order, renewal email, trial | Internal Code, Payment Schedule, Total payment cycles |
- A new price applies to members already on that level from their next payment. To keep current members on the old price, create a new level with the new price and set the old one to No, do not accept new members.
- To change how often members pay, create a new level with the new schedule, move each member to it (see Manage your members: add, import, export, suspend, cancel and email them), then delete the old level.
Replace the sample level
Every new membership site starts with a level called Monthly Sample (code MONTHLYDEFAULT). It shows on your sign-up form until you remove it.
- Create your own levels first. You can't delete the last level on the list.
- Click DELETE next to Monthly Sample and confirm.
- In EverWeb, click the reload button in Password Protection, and tick your new levels on each members-only page.
If a page still has a deleted level ticked, publishing stops with "One or more membership levels no longer exist or cannot be validated." Reload the levels, tick the right ones and publish again.
Delete a level that has members
Click DELETE and confirm. If members are on it, you'll see "This membership level is currently being used." Choose their new level in Choose level and click Transfer. The members move, then the old level is deleted. Check their next payment on the Members screen afterwards.
Coupons
A coupon gives a discount on one or more levels. Coupons work on every plan.
- In the Client Area, go to Membership Sites > Coupons.
- Click Create new coupon.
- Fill in the fields below and click Save.
| Field | What to enter |
|---|---|
| Coupon code | Capital letters and numbers, no spaces, such as SPRING25. It can't be changed later. |
| Membership levels | The levels it works on. |
| End date | Required. The coupon stops working on this date. |
| Max use | How many times it can be used in total. 0 means no limit. |
| Status | Active to use it now. Inactive or Disabled to stop it. |
| Discount type | Fixed (an amount off) or Percent. |
| Discount amount | The amount or percentage. |
| Coupon Note | A short description. Fill it in: a coupon may not save without one. |
| Internal Notes | Notes for you. |
Let members use it: the coupon box is hidden on your sign-up page until you turn it on. In EverWeb, select the Membership Sign Up Form widget, go to Inspector > Widget Settings and set Coupons to Click to Enter Coupon or Always Show Coupon Field. To give an existing member a coupon, open them on the Members screen and choose it in Member coupon.
Good to know:
- Coupons can't be deleted. Click Disable or Suspend to stop one, and Duplicate to copy it with a new code.
- Members see messages such as "Coupon expired", "Coupon using limit exceed" or "No coupon for this membership level" when a code doesn't apply.
