Members' areas for schools, clubs and associations: parents, members, staff and yearly dues

Membership Sites gives each parent, member or volunteer their own login to the pages you choose, and it can collect yearly dues by card. A free members' area, where people join without paying, needs the Plus or Deluxe plan. For the plans and their fees, see Members-only pages, logins and paid subscriptions: EverWeb Membership Sites.

Who uses this

  • A school or PTA: a parents' area with letters home, term dates, club timetables and photos from events.
  • A sports, hobby or music club: members pay yearly dues and see fixtures, minutes and the member list.
  • An association or homeowners association (HOA): members read meeting papers, rules and newsletters, and the committee has its own pages.

For the public pages, see Build a website for your club, church or nonprofit with EverWeb or Build a website for your charity or nonprofit with EverWeb: donations, volunteers and events.

The levels to set up

A membership level is a type of membership. You create levels under Membership Levels in your EverWeb account page (the Client Area). A typical setup:

LevelPayment ScheduleWho it's for
Parents (or Members)Free (Plus or Deluxe)Everyone you let in
Annual MemberYearly, for example $40Members who pay dues
Committee (or Staff)Free (Plus or Deluxe), with Active set to No, do not accept new membersPeople you add yourself

For each page, tick every level that may see it: a committee page has only Committee ticked, and a members' news page has all three. A page is all or nothing, so give the committee its own pages. Steps: Choose which pages members can see: protect pages and directories by membership level.

A free members' area

  • Free levels need Plus or Deluxe. Starter is for paid members only.
  • New free members get an email asking them to confirm their address. The link works for 2 hours, so make an Email Validation page with the Membership Email Verification widget: its Re-send Verification Email button sends a new one.
  • Anyone who finds your Sign Up page can join a free level. If only real parents or members should get in, don't link to it from your public pages, and add people yourself (see below). Or tick Receive signup notification in Setup and suspend anyone who shouldn't be there.

Yearly dues

  • Make a Yearly level and connect your Stripe account in Setup. Members pay by card when they join, and the card they saved is charged again each year.
  • Send Renewal Email X days before expiry on the level sends a reminder, for example 14 days before.
  • If a renewal payment fails, the member's account is suspended until they pay. Tick Receive payment failed notification in Setup, and make an Account Suspended page that says what to do next.
  • Each login belongs to one email address. There are no family or joint memberships, so a family that shares a login shares one email address.

Committee and staff pages

With Active set to No, do not accept new members, the Committee level isn't offered on your Sign Up form. You put people on it yourself: on the Members screen, click EDIT next to the person, open the Member Level tab, choose Committee in New Membership Level and click Change.

If the committee only needs one shared username and password, Simple Password (included with EverWeb + Hosting) may be enough: see Can I password protect my website? Simple Password and Membership Sites.

Member directories, newsletters and events

  • A member directory: there's no built-in directory, so put a table on a members' page (table code in an HTML Snippet): see Add a table to a page: price lists, timetables and other rows and columns. Don't use a PDF or an embedded Google Sheet: anyone who has its link can open it, even from a members-only page. Ask members before you list their details, and untick Include in Site Search in Inspector > Page Settings.
  • Newsletters (Plus or Deluxe): on the Members screen, add Membership level in Filters to show, search for the level, tick the members, then click Mailing. The tick box at the top only ticks the members on screen, so show 100 per page. Send only to opt in members leaves out members who unticked "Receive marketing emails" on their profile. To send from your own address, use Mail Configuration.
  • Events: in EverWeb 4.6 and later, a contact form can take registrations and fees: see Event registration and ticket sales with your contact form.

Adding the members you already have

  • A few people: on the Members screen, click Add New, enter their name, email, level and a password, and click Save. Members on a free level get the email asking them to confirm their address. If they miss it, open them and click Set Verified.
  • A whole list: click Import and upload a CSV file. Use the sample file on that page. The membership level column must match each level's Internal Code. Import long lists in smaller files, for example 50 members at a time, and check the Imported count and the email you get afterwards.
  • Either way, ask members to click Forgot your password? on your Login page to choose their own password. That needs a Change Password page.

Full steps: Manage your members: add, import, export, suspend, cancel and email them.
