Coaches, personal trainers and fitness studios: paid client areas with Membership Sites

Membership Sites lets clients sign up, pay monthly or yearly by card, and log in to see the programmes, workout videos and timetables you keep for them. Clients can't change plan or cancel by themselves: they ask you, and you do it in your EverWeb account page (the Client Area). For the plans and their fees, see Members-only pages, logins and paid subscriptions: EverWeb Membership Sites.

Who uses this

  • A personal trainer or online coach: a monthly plan with a new programme each month and a library of workout videos.
  • A yoga, Pilates or dance studio: the class timetable, recorded classes and studio news.
  • A martial arts school: a level for each belt, each with its own syllabus videos.

Example levels

A membership level is one plan: its name, price and how often it's paid. You create levels under Membership Levels in the Client Area. For example:

LevelPayment ScheduleExample priceBehind the login
Free TasterFree (Plus or Deluxe)0One sample workout
BasicMonthly$15The workout library
PremiumMonthly$40Library, class recordings and a monthly programme
Premium YearlyYearly$400Same as Premium, for a year

On each page, tick every level that may see it: Basic pages get all three paid levels, Premium pages only the two Premium ones. Steps: Choose which pages members can see: protect pages and directories by membership level.

Belt ranks: give every belt level the same price and schedule, so moving up doesn't change what a student pays. Leave White Belt open, and set Active to No, do not accept new members on the higher belts so they aren't offered on your Sign Up form. You move each student up yourself after a grading. A Yellow Belt page has Yellow and every higher belt ticked.

A free trial

Free trials need Plus or Deluxe. On the level, enter a number of days in Trial period (0 - no trial), for example 7. A new member on a trial still goes through your Payment page when they sign up, and that page tells them when their first payment is due. Sign up as a test member before you advertise a trial. A Free Taster level lets people try you with no card at all.

Promotions with coupons

  1. In the Client Area, open Coupons and click Create new coupon.
  2. Fill in the Coupon code (letters and numbers only, such as JANUARY), the Membership levels it works on, End date, Max use, Discount type (Fixed or Percent), Discount amount, Recur and Coupon Note, then click Save.
  3. In EverWeb, select the Membership Sign Up Form widget, go to Inspector > Widget Settings and set Coupons to Click to Enter Coupon or Always Show Coupon Field. It starts as No Coupon Field, which hides the box.
  4. Publish your website.

More detail: Plan your membership levels: free, one-time, monthly or yearly, trials, setup fees and coupons.

Adding one-to-one clients yourself

On the Members screen, click Add New, enter the client's name, email, level and a password, and click Save. On a paid level, they add their card on your Payment page the first time they open a members' page. Ask them to click Forgot your password? on your Login page to choose their own password.

Pages are protected by level, not by person. For a page only one client sees, give that client a level of their own, or use Simple Password on EverWeb + Hosting.

Upgrades, pauses and cancellations

Clients can't change their level or cancel on the website. Put a request form on a members' page with the free Contact Form Advanced widget: name, email, and a choice of Upgrade, Downgrade, Pause or Cancel. See Build a custom form: quote requests, registrations and file uploads. Say on your prices page that this is how clients change or cancel.

When a request comes in, find the client on the Members screen and click EDIT:

  • Change level: on the Member Level tab, choose the level in New Membership Level, check the comparison and click Change. Between two paid levels, the date they've paid up to stays the same. To charge a difference now, tick Apply Membership Change Fee and enter it in Member Price Change.
  • Pause or give a free month: on the Overview tab, move the Next Payment date later and click Save.
  • Cancel: click Cancel Account and confirm. Their card is removed and payments stop. If they've paid for time that hasn't run out, they keep access until then and appear on the Cancelations screen, where Disable canceling undoes it.

If a renewal payment fails, the account is suspended until the client pays. Tick Receive payment failed notification in Setup so you hear about it.

Before your first real client, see Test your membership site before you launch, and fix common problems.
